Privacy policy
We handle passports, tax returns and bank details. This page sets out exactly what we do with that information and what rights you have over it.
Who we are
Tax and Accounting Hub is a UK-based tax and accountancy practice providing US and UK tax compliance services, including Form W-7 ITIN preparation. We are the data controller for the personal information described in this policy.
Information we collect
Identity and contact details, including name, address, date of birth, nationality, passport and visa details, telephone number and email address.
Tax and financial information, including income, employment, bank and investment account details, property transactions, tax identification numbers such as an SSN, ITIN, EIN or UTR, and copies of prior tax returns.
Correspondence you send us, and records of the advice and services we provide.
Technical information collected when you use this website, such as pages visited and approximate location, used only to understand how the site is used.
Why we use it
To provide the tax and accountancy services you engage us for, including preparing and submitting returns and applications to the IRS, FinCEN and HMRC.
To meet our own legal obligations, including anti-money-laundering identity verification, record retention and professional standards requirements.
To communicate with you about your engagement, and — only where you have asked for it — about tax deadlines and guidance.
Legal basis
We process your information to perform our contract with you, to comply with legal obligations, and where relevant on the basis of our legitimate interests in operating and improving the practice. Where we rely on consent — for example for marketing emails — you may withdraw it at any time.
Sharing your information
We share information with the IRS, FinCEN, HMRC and other tax authorities where required to file on your behalf. We may share it with our secure software and hosting providers, and with professional advisers or regulators where we are legally required to do so. We never sell your personal information.
Some of our processing involves transfers to the United States, which is inherent in US tax filing. Such transfers are made with appropriate safeguards in place.
How long we keep it
We retain client records for a minimum of seven years after the end of the engagement, in line with UK and US record-keeping requirements, after which they are securely deleted or destroyed.
Security
Documents are exchanged and stored using encrypted systems with access limited to the staff working on your engagement. Original identity documents presented for CAA certification are returned to you and are not retained beyond the certified copies the IRS requires.
Your rights
Under UK GDPR you have the right to access the personal data we hold about you, to have inaccurate data corrected, to request erasure or restriction where applicable, to object to certain processing, and to data portability.
